NGO Promotional Materials: Low-Cost Solutions with High Impact
A guide for NGOs and charities: which promotional materials give the best return for the smallest budget, with indicative prices and turnaround times.

The NGO promotional materials with the best return for the smallest budget are usually three: stickers (from approx. EUR 0.05/pc at 1,000 pcs), A5 flyers (from approx. EUR 0.06/pc at 1,000 pcs), and one quality reusable item — a roll-up banner stand or PVC banner (from approx. EUR 55-75). With a budget of EUR 300-500 excl. VAT, you can cover a donation drive, volunteer visibility and event branding all at once. Standard production time is 2-10 business days, with rush jobs available by arrangement.
Where to start on a small budget
For NGOs, materials usually serve three different purposes, and it's best not to mix them in a single order:

- Outreach — flyers, stickers, posters. Cheap, high print runs, single-use.
- Event visibility — banners, roll-up stands, volunteer clothing. More expensive, but usable for years.
- Thanking donors and partners — mugs, notebooks, tote bags, pens. Small quantities, higher value per piece.
A practical split that works: 40% of the budget on reusable materials, 40% on mass materials, 20% on thank-you gifts. The reusable item is what, after three events, cuts the cost per contact several times over.
Indicative prices at the end of 2025
Prices are excl. VAT and indicative only — the exact amount depends on quantity, material and the number of print colours.
| Material | Quantity | Indicative price excl. VAT |
|---|---|---|
| A5 flyers, 130 g/m², double-sided | 1,000 pcs | from EUR 60 (EUR 0.06/pc) |
| A5 flyers, 130 g/m², double-sided | 5,000 pcs | from EUR 190 (EUR 0.038/pc) |
| Die-cut stickers, Ø 50 mm | 1,000 pcs | from EUR 50 |
| A3 posters, 170 g/m² | 50 pcs | from EUR 90 |
| A2 posters | 20 pcs | from EUR 110 |
| PVC banner with eyelets, 3×1 m | 1 pc | from EUR 55 |
| Roll-up banner stand 85×200 cm with bag | 1 pc | from EUR 110 |
| T-shirt with DTF printing (1 side) | 20 pcs | from EUR 11/pc |
| Polo shirt with embroidery | 10 pcs | from EUR 22/pc |
| Printed mug | 50 pcs | from EUR 5.50/pc |
| Tote bag with screen printing, 1 colour | 100 pcs | from EUR 4.20/pc |
At higher quantities, the price per piece drops significantly — the difference between 1,000 and 5,000 flyers is almost double per piece, since set-up work forms a fixed part of the cost. So if you know you'll need the same material next quarter, it's more cost-effective to order the full run at once.
Stickers: the lowest cost per contact
Stickers are an underrated tool in the NGO sector. A donor who receives a sticker with your organisation's logo and puts it on their laptop or water bottle carries your message for months. With EUR 50 you can get 1,000 die-cut round stickers.
Practical tips: matte vinyl looks more premium and doesn't glare in photos, while gloss vinyl is more water-resistant. For outdoor use (bicycles, windows, equipment), we use a more durable vinyl. Window stickers reading "We accept donations here" at partner cafés and shops are one of the cheapest ways to gain physical presence across the city. Event branding: one banner, three versions
Charity runs, benefit concerts, volunteer clean-ups — they all need a visible logo in the background. The most economical solution:
- PVC banner 3×1 m with corner eyelets — from EUR 55. Can be attached to a fence, table or wall. Lasts several years outdoors.
- Roll-up banner stand 85×200 cm — from EUR 110. Sets up in minutes, fits in a carry bag, usable both indoors and at entrances.
- Press photo banner — only worthwhile if you host media events several times a year.
The most important tip: don't put specific dates on the banner. A banner without a date and event name can be used at five events instead of one. Put dates and details on posters instead, which are much cheaper. Banner and roll-up sizes can be customised as needed.
Volunteer clothing
A volunteer in a recognisable T-shirt changes how an event is perceived — people know who to approach. Two options depending on quantity:
- DTF printing on T-shirts — cost-effective from 10-20 pcs, allows a full-colour logo with no extra charge for colours.
- Screen printing — cost-effective from 50 pcs upward, price per piece drops sharply, but each additional colour costs more.
- Embroidery — for polo shirts and caps, the most durable option, looks good on board members' and coordinators' clothing.
From our catalogue, we often recommend to NGO coordinators the Helios 180 g/m² men's short-sleeve polo shirt — it's available in 62 colours, so you can almost always find a shade that matches your organisation's visual identity, and the 180 g/m² fabric weight is suitable for chest embroidery. With embroidery from 10 pcs, indicative pricing starts from EUR 22/pc excl. VAT. More on clothing printing and available models.
How to prepare files and avoid paying for reprints
The most common extra cost in NGO orders isn't printing itself, but reprinting after a mistake. Here's how to get it right:
- Send files as vector graphics (.ai, .eps, .pdf) in CMYK. A .png logo taken from a website will look blurry on a banner.
- Allow a 3 mm bleed area and keep text at least 5 mm from the edge.
- Have the text checked by at least two people who aren't the original authors. The donation account number and QR code are the most important elements — check them on a printed page, not on screen.
- Print QR codes at a minimum of 20×20 mm with a white border around them.
If you don't have an artwork file, we can prepare one — a simple flyer or poster layout starts at approximately EUR 25.
Turnaround times and planning
Standard turnaround is 2-10 business days depending on the product and quantity: stickers and digital printing usually take 2-5 business days, clothing printing and embroidery 5-10 business days, banners 2-5 business days. At the end of donation campaign season (November-December) workload is higher, so it's best to confirm your order at least two weeks before the event. Rush jobs are available by arrangement.
We also work with single pieces — if you need just one banner or five T-shirts, that's not a problem. All printing services and formats are listed on the services page.
Frequently asked questions
How big a budget do we need for one charity event?
With EUR 300-500 excl. VAT, you can cover 1,000 flyers, 1,000 stickers, 20 A3 posters and one PVC banner. If events recur, a roll-up banner stand for around EUR 110 is the best long-term investment.
Do NGOs get special pricing?
There's no fixed discount table, but the price always depends on quantity and print complexity. For regular customers and larger print runs, we put together individual pricing — send us your requirements and we'll offer several options across different price ranges.
Which material lasts the longest?
A PVC banner and an embroidered polo shirt or cap. A banner without dates can be used across several seasons of events, and embroidery on clothing doesn't peel off in the wash, unlike cheap heat transfer.
Can we order just 10 T-shirts for volunteers?
Yes. DTF printing is cost-effective from as few as 10 pcs, with indicative pricing from EUR 11/pc excl. VAT for single-sided printing. Screen printing becomes more cost-effective from 50 pcs.
How long should we expect from order to delivery?
Usually 2-10 business days. If your event date is fixed, mention it right away in your request — we'll plan production accordingly and tell you honestly whether the deadline is realistic.
Send your request to info@attaprint.lv or message us on WhatsApp +371 25776699 — project manager Madara will prepare a quote within one business day with several pricing options. We're located in Riga, Kandavas iela 29A; contact details and opening hours — on the Contacts page.
