Printing Price Calculator: How to Work Out the Cost Yourself

A guide to how the printing price calculator works: the formula, quantity tiers, setup fees and three real calculations using Atta Print price list figures.

Printing price calculator: how to work out the cost yourself

The printing price calculator works on a single formula: (unit price × quantity) + setup fee + delivery. For example, logo printing on 50 T-shirts using screen printing in one colour costs 2.50 EUR/pc plus a 35.00 EUR setup fee, totalling 160.00 EUR excl. VAT, or 3.20 EUR per shirt (the shirt price is separate). All price list figures in this article are excl. VAT and apply as of July 2026.

The formula behind every quote

Whether you're ordering stickers, posters or logo printing on garments, a quote always consists of four parts:

  1. Unit price – per square metre (stickers, banners, panels), per piece (posters, catalogues, printing) or per set (business cards in batches of 100 pcs).
  2. Quantity – a multiplier that usually lowers the unit price once you reach the next tier.
  3. Setup fee – a one-off charge for screens, embroidery digitising or artwork layout. For stickers, banners and posters it's 0.00 EUR.
  4. Delivery – 16.00 EUR per trip with a partner courier in Riga; free pickup at Kandavas iela 29A.

Step 1: identify the unit of measurement

First, work out whether your product is priced per square metre or per piece. Stickers, banners and panels – per m². Printed materials and logo printing – per piece or per set.

Step 2: find your quantity tier

For most items the price drops in steps. There's no linear discount – there are specific thresholds, which is why it's sometimes cheaper to order 50 pieces instead of 45.

For business cards there's just one tier: 25.00 EUR per 100 pcs, but from 3 sets (300 pcs) it drops to 22.00 EUR per set.

Step 3: add the setup fee and divide

The setup fee doesn't change with quantity, so for small runs it has a strong effect on the price per piece. A screen printing setup fee of 35.00 EUR on 20 shirts adds +1.75 EUR per shirt, but on 250 shirts only +0.14 EUR. That's the main reason we recommend DTF transfer for small runs, where there's no setup fee at all.

Step 4: convert to square metres for stickers

Sticker calculation: size in millimetres → m² per sticker → multiplied by quantity → plus 15–20% for material usage (gaps, margins, roll edges).

Example with 1000 round stickers, 50×50 mm:

  • 50 × 50 mm = 0.0025 m² per sticker
  • 0.0025 × 1000 = 2.5 m²
  • +20% = 3.0 m² billable area
  • 3.0 × 24.00 EUR (print + contour cutting) = 72.00 EUR, or 0.072 EUR per sticker

Three full calculations

Banner for an event

A 3 × 1 m PVC banner = 3 m² × 14.40 EUR = 43.20 EUR. If you also need a stand for one day, rental is 48.00 EUR/day, plus delivery in Riga at 16.00 EUR. Total: 107.20 EUR excl. VAT.

100 A4 catalogues

100 × 2.40 EUR = 240.00 EUR + 15.00 EUR setup fee = 255.00 EUR, or 2.55 EUR per catalogue. Same quantity in A5 format: 100 × 1.50 + 15.00 = 165.00 EUR. For more on formats and paper types, see the digital printing section.

30 polo shirts with embroidery

Embroidery up to 10,000 stitches at 20+ pcs = 4.50 EUR × 30 = 135.00 EUR + 25.00 EUR digitising fee = 160.00 EUR for the embroidery. Add the shirts themselves from the catalogue – their price depends on the model, fabric weight and colour.

What the calculator can't work out

Some things remain manual, and they can shift the final total by 10–30%:

  • Multiple colours or positions. The screen printing price list is for one colour in one position; each extra colour means a new screen and a new setup fee.
  • Number of embroidery stitches. Above 10,000 stitches, the price increases in proportion to the area.
  • Non-standard sizes. If a sticker or panel doesn't fit the material width without waste, the billable area is larger than the theoretical one.
  • Turnaround time. In-house printing – stickers, business cards, posters – takes 1–3 business days. Promotional products with logo printing usually take 6–10 business days: production 4–7 days plus delivery 2–3 days. Urgent jobs are assessed separately.
  • File quality. Vector graphics (.ai, .eps, .pdf, .svg), CMYK, 300 dpi for raster. If a logo needs to be redrawn, that's a separate job.

Frequently asked questions

Is the calculator price final?

It's accurate enough for budget planning, usually within a 10% margin. We confirm the final price in a quote, which shows the material, size, print location, setup fee and turnaround time for each item.

How do I add VAT to the price?

All figures are excl. VAT. Multiply the total by 1.21. For example, 255.00 EUR for 100 A4 catalogues incl. VAT is 308.55 EUR.

Why do 10 posters cost the same as 19?

Because the tier starts at 10 pcs: an A2 poster from 10 pieces is 4.50 EUR. The next threshold is 50 pcs at 3.20 EUR. If you're planning 40 posters, it's worth comparing the total with the 50-piece option – the amounts are sometimes almost equal. The posters section shows all formats from A4 to A0.

Can I order just 1 piece?

Yes. For digital printing, large-format printing and mug printing, we work from 1 piece. For socks with woven-in logos, the minimum is 100 pairs, since they are woven, not printed.

How do I calculate the print area for garments?

Standard positions: left chest 110×90 mm, front or back up to 280×210 mm, sleeve 80×60 mm, embroidery up to 90×90 mm. A DTF price list "up to A4" means the whole artwork fits within a 210×297 mm area.

Does delivery always cost 16 EUR?

That's the price per trip with a partner courier in Riga. Outside Riga, delivery is calculated based on the address and parcel size; pickup at Kandavas iela 29A is free.
