Exhibition Materials: Roll-Up Banners, Stickers, Flyers and Gifts

A practical guide to preparing exhibition materials for your stand: roll-up banners, stickers, flyers and visitor gifts, with approximate prices and timelines.

Exhibition stand with a roll-up banner and a counter with a logo

Exhibition materials for a standard 3x3 m stand usually include one or two roll-up banners (85x200 or 100x200 cm), a large-format banner or photo wall for the back, stickers for the table and glass surfaces, 300–1000 flyers or booklets, and 100–300 small gifts with your logo. The whole package typically costs around 450–1200 EUR excl. VAT depending on quantities, and production takes 5–10 business days. We recommend placing your order at least two weeks before the event, leaving time for proofing and minor changes.

Where to start: your stand materials checklist

Before calculating costs, it's worth listing exactly what will be visible at your stand. In practice, clients most often forget the small details — the table sticker, price tags, and packaging stickers.

A minimal set that works for almost any industry:

  • Vertical accent — a roll-up banner with your name and one key message, readable from 5–7 metres away.
  • Backdrop — a PVC banner or photo banner on the stand wall, if the organiser allows it.
  • Stickers — for the table surface, glass display case, floor, or product packaging.
  • Printed materials — a flyer with your offer, a booklet for those who want more detail, and business cards for the team.
  • Visitor gift — a small item people take with them and use later.
  • Team clothing — matching T-shirts or polo shirts with your logo, so the stand is instantly recognisable.

Roll-up banners and banners: sizes and materials

The 85x200 cm roll-up is the most common format — it fits a narrow stand and is easy to carry in a bag. If your stand is wider or the roll-up will stand near the entrance, 100x200 cm is more practical. We produce these on dense film with a matte finish, since under hall lighting a glossy material reflects light and makes text harder to read.

For exhibition PVC banners we usually offer 440–510 g/m² material with eyelets or hemmed edges. If the banner will be mounted on a frame, you need to know the exact frame size — leave a 3–5 cm margin in the mounting area. Read more about options and sizes in the banners and roll-up stands section.

Posters

For product explanations, price sheets and process diagrams, posters in A2–A0 format on 200 g/m² paper work well. They can be mounted in a frame or attached to the stand wall with double-sided tape. An A1 poster is a good balance — large enough to read from a few metres, and cheap enough to dispose of after the event.

Stickers: where they're genuinely useful at a stand

Sticker printing on matte or glossy adhesive film with contour cutting is the cheapest way to decorate surfaces that can't be printed on directly. Typical uses at exhibitions:

  • a logo sticker on the front of the table and on a glass display case;
  • number or direction stickers on the floor (laminated to withstand foot traffic);
  • product packaging stickers for small batches, when commercial packaging printing isn't cost-effective;
  • stickers as an extra giveaway — visitors, especially younger audiences, love to take them.

Contour cutting lets you cut stickers into the shape of your logo, not just a square. Shapes and material choices are covered in the stickers section.

Flyers, booklets and business cards

Visitors typically spend 2–4 minutes at a single stand, so your flyer needs one clear message and your contact details. An A5 flyer on 130–170 g/m² coated paper with double-sided printing is the most practical solution for most industries. For a more complex offer, an A4 booklet with one or two folds works well.

Budget for at least 100 business cards per team member — at a two-day exhibition they run out faster than you'd expect. Material and finishing options are available in the business cards and flyers section.

Visitor gifts: what to choose

From our catalogue, the most popular exhibition choices are pens, notebooks, tote bags, water bottles, thermal bottles, umbrellas, tech gifts (chargers, USB drives, cable organisers) and mugs. The logic is simple: for mass giveaways at the stand, go for a cheaper item in the 0.50–3 EUR range; for specific contacts and partnership conversations, a more premium gift in the 8–25 EUR range.

The number of print colours affects price: a single colour on a pen or bag is the most economical option, while full-colour printing on a bottle or thermal mug costs more. For mugs, sublimation with a full-colour image works well; for textiles, screen printing suits larger runs and DTF transfer suits smaller ones. See our offer in the promotional products with logo and clothing printing sections.

Timelines and files

Standard production time is 2–10 business days depending on the product: stickers, banners and posters 2–5 business days, printed promotional products and embroidery 5–10 business days after artwork approval. We can accommodate urgent jobs by arrangement, though this narrows your choice of materials.

Days before the exhibitionWhat to do
20–25 daysConfirm content, choose gifts from the catalogue
14 daysSubmit files for printing, approve the digital proof
5–7 daysReceive roll-up banners, banners and printed materials
2–3 daysPack, check mounting fixtures, prepare spare flyers

We accept artwork in vector format (.ai, .eps, .pdf), in CMYK colour space, with text converted to outlines and a 3 mm bleed margin. For large-format printing, raster images need a resolution of at least 100–150 dpi at final size. If your artwork is in Canva or Word, we can help prepare it for print.

Frequently asked questions

How long should I allow for the whole exhibition materials package?

Usually 5–10 business days from artwork approval. If the package includes embroidery or catalogue items printed in multiple locations, allow 10 business days. We recommend ordering 2–3 weeks before the event.

Can I order just one roll-up or a small batch of stickers?

Yes, we also work with single items. Digital and large-format printing don't require a minimum run; for promotional products with a logo, the minimum quantity is usually 25–50 pieces depending on the product and printing method.

How many flyers should I bring for a two-day exhibition?

For an average stand, 500–800 A5 flyers are enough. For a large exhibition with heavy footfall, allow 1000–1500. It's practical to take fewer booklets and more of the cheaper flyers, since visitors pick up booklets less often.

What gifts do visitors actually take?

Pens, notebooks, tote bags and stickers consistently perform well. If you want the gift to be used for longer, choose a water bottle, thermal bottle or cable organiser. It's worth saving more expensive gifts for conversations with specific partners.

Can you print team clothing in the same order as the rest of the materials?

Yes. We produce T-shirts, polo shirts and sweatshirts using screen printing, DTF transfer, sublimation or embroidery alongside the rest of your order, which is also more convenient for logistics and delivery.

Can a roll-up be reused for the next event?

Yes, as long as the artwork doesn't include a specific date or location. The cassette lasts for several years, and later you can simply replace the printed film — this costs less than a new roll-up.
