A practical promotional products calendar means one thing: for every event, the order is placed 4–8 weeks before the date you actually need the items in hand. The standard production time for print products is 2–5 business days, while promotional products with logo printing take 5–10 business days after artwork approval — and catalogue items also need warehouse delivery time added on top. Plan this in January, and for the rest of the year you won't have to pay rush fees or settle for the second-choice colour because the first one is sold out.

Why a calendar pays off

Most problems with promotional products aren't printing problems — they're planning problems. The most typical cases: a sports club remembers about shirts two weeks before the season opener; a school orders graduation gifts in May, when the needed colour is already out of stock in the warehouses; a company wants 300 thermal mugs with a logo in December, but December is the month when this product runs out fastest across Europe.

The second argument is price. One combined order of 500 pens costs noticeably less than five separate orders of 100 pieces, because the setup work repeats with every order. If you know your total annual volume at the start of the year, you can split it into deliveries while still getting the price of the full batch.

The deadline for winter gifts is the most important one. Mid-October isn't an exaggeration: in November, colour and size shortages start appearing in catalogue warehouses, and by December the selection is already significantly narrower.

Seasonal products: where to focus

Spring and summer

Apparel is the main seasonal item. The most popular solution for teams and staff from our catalogue is the Helios 180 g/m² men's short-sleeve polo shirt — available in 62 colours, so you can almost always find a shade matching your company identity. Tip: confirm the colour and size breakdown in April, since demand for polo shirts peaks in May and June. We usually apply the logo to a polo shirt using embroidery or DTF transfer — both options hold up well through washing.

Autumn and winter

In autumn, presentation materials dominate: catalogues, folders, notebooks, pens. In winter — hot drink containers and long-sleeve apparel. It's important to factor in that the whole industry's biggest volumes coincide in the same month.

How to split your budget

A practical breakdown for a company with 4–6 events a year: roughly 40% on apparel and larger items (polo shirts, sweatshirts, bags), 25% on print materials (flyers, catalogues, stickers), 25% on everyday items (pens, notebooks, mugs), and 10% held in reserve for urgent jobs. In practice, the reserve always gets used — there's always an event that wasn't planned for.

Files and approval

We expect artwork in vector format (.ai, .eps, .pdf), in CMYK colour mode, with text converted to outlines. If your logo is only available as JPG or PNG, it can be redrawn, but allow 1–2 extra business days for this. Before production, we send a digital proof for approval; for apparel printing and mugs, we can also prepare a physical sample by arrangement.

How far in advance should I order promotional products before an event?

A safe margin is 4–6 weeks. Print products (flyers, posters, stickers) only need 1–2 weeks, but catalogue items with logo printing need 3–4 weeks, since warehouse delivery and print preparation add to the timeline.

Can I order for the whole year in advance and receive it in batches?

Yes. The price is calculated from the total annual volume, but deliveries are split into 2–4 batches according to a pre-agreed schedule.

When should I order winter gifts?

Mid-October. In November, availability of thermal mugs, sweatshirts and the most popular colours starts to drop, and by December the selection is significantly smaller.

Is rush production possible?

We take on urgent jobs by arrangement. Stickers, posters and digital printing are possible within 1–2 business days if the artwork is correct. Rush production of catalogue items with logo printing is only possible if the product is in stock.

What's the minimum order quantity?

We also work with orders of 1 piece, for example a single mug or a single T-shirt. The price per piece drops noticeably starting from 50–100 pieces.
