Menu Printing for Cafés: Paper, Laminating, Updates
How to choose paper, laminate and format for a menu, how much printing costs from 1 to 250 copies, and how to update prices quickly without reprinting the whole menu.

Menu printing for a café costs roughly 1.20 to 3.50 EUR per copy excl. VAT — an A5 booklet, 8 pages, on 170 gsm paper costs around 2.20 EUR/pc for a small print run and from 1.20 EUR/pc from 250 pieces, while A4 works out at around 3.50 and 1.90 EUR/pc respectively. Artwork preparation for booklets costs around 15.00 EUR, and production takes 3–10 business days depending on quantity and finishing. Laminating adds roughly 0.80–2.00 EUR per sheet but extends the menu's lifespan from a few weeks to several months.
Which format to choose
The format depends on table size and number of items. In practice, cafés mostly use three options:
- A4 single sheet or double-sided sheet — for a bar list, daily special or wine list. Quick and cheap to update.
- A5 booklet, 8 pages — a full menu for a small restaurant. Easy to hold, looks good on a small table.
- A4 booklet, 8–12 pages — a larger menu with photos, for hotel restaurants or banquet offers.
The daily special needs a separate carrier. If 3–5 items change every day, it's cheaper to print an A5 insert or use a poster on a stand by the entrance rather than reprint the whole menu.
Paper: weight and finish
A menu is an everyday item touched 20–50 times a day, so paper weight matters more than design.

Matte paper is more practical than gloss: fingerprints show less and it doesn't glare under hot lighting. If the menu has lots of food photos, a glossy finish gives a richer image, but then we recommend at least a matte laminate on top.
Laminating: when it pays off
Laminating means fusing a thin film onto the paper. It makes sense if the menu is used without a cover, or comes into contact with food and drinks.
- Matte laminate — no glare, looks calm, but scratches can show on dark colours.
- Gloss laminate — more resistant to friction, easy to wipe clean, but glares under lamps.
- Soft-touch — velvety finish, works well for upscale restaurants; costs around 30–40% more than standard laminate.
Laminating an A4 sheet on both sides costs roughly from 0.80 EUR per sheet, A3 — from 1.50 EUR per sheet, excl. VAT. The exact price depends on quantity. A laminated menu in a café with average footfall lasts 4–8 months; an unlaminated 170 gsm sheet lasts 3–6 weeks.
An alternative to laminate
If the menu changes often, laminating becomes an unnecessary expense. In that case it's better to print on 250 gsm paper and insert it into a transparent cover or folder — replacing a single sheet costs less than reprinting a laminated set.
Prices and quantities
Below are indicative prices for booklet-style menus. Prices excl. VAT, artwork preparation roughly 15.00 EUR per job.

Example (indicative): 30 copies of an A5 menu with 8 pages cost 30 × 2.20 = 66.00 EUR plus 15.00 EUR preparation, totalling 81.00 EUR excl. VAT. The same at a run of 100 pcs — 150.00 + 15.00 = 165.00 EUR, meaning the price per copy ends up almost half as much.
Single-sheet menus are priced differently — a double-sided A4 print on 300 gsm paper starts at around 1.50 EUR/pc for 20 pieces. Other printing services are available in the printing services section.
Updating a menu without a full reprint
Prices change more often than dishes. There are several ways to avoid reprinting the whole menu:
- Modular structure. Split the menu into sheets by section (starters, mains, desserts, drinks) and place them in a cover. Only reprint the sheet where prices changed.
- Separate price column. Prices can be printed on a narrow strip or sticker stuck on top. Printed stickers cost roughly from 18–24 EUR/m², laminated ones from around 24 EUR/m². A set of price strips for one A4 menu works out to just a few tenths of a square metre.
- Daily special separate. An A5 insert or chalkboard by the counter for best-selling items that change weekly.
- Seasonal versions. A summer and winter menu as two separate print runs of 50 pcs each often cost less than three unplanned reprints over a year.
Keep the artwork file in an editable format. If we have the file on record, changing prices and reprinting usually takes 3–5 business days, and there's no preparation fee for a repeat order if the changes are text-only.
Files and artwork requirements
Printing requires a vector or high-resolution file: .ai, .eps or .pdf, CMYK colour space, images at least 300 dpi. Add a 3 mm bleed on each side and keep text at least 5 mm from the edge. Fonts must be converted to outlines.
If you don't have artwork, we'll prepare it for you — for booklets this costs roughly 15.00 EUR per job, including two rounds of proofing. We always send a PDF for approval before printing.
Turnaround times
Standard turnaround for menu production is 3–10 business days from artwork approval: a simple single-sheet menu usually takes 3–4 days, a booklet with laminating and folding 5–8 days. Rush jobs are possible by arrangement — tell us the date the menus need to be on the tables, and we'll let you know if we can make it.
FAQ
How many menu copies does a café need?
A practical rule: number of tables × 1.5. For example, 20 tables need around 30 menus — some are always with guests, some wear out. Add 3–5 spare copies and one for the bar.
Can you print a single menu?
Yes, we also work with single pieces. For small quantities, the price per piece is higher, since the preparation work is the same as for a large order.
What happens if a drink spills on the menu?
A laminated menu can be wiped with a damp cloth or mild cleaner. Unlaminated paper absorbs liquid and leaves a stain — so for terraces and bar lists we almost always recommend lamination.
Can you add a QR code linking to a digital menu?
Yes. We incorporate the QR code into the artwork; it's important that it's no smaller than 20×20 mm and has a white margin around it. We check the code with a phone before printing.
How long do you keep the artwork file?
We keep artwork files for at least two years, so a repeat order with minor price changes is quick — usually 3–5 business days.
