Wedding planner materials for a single event usually fall into three groups: printed items for guests (invitations, place cards, menus, programmes), signage and decor (A4–A0 direction posters, PVC banners, roll-up stands, photo corners), and branded favours (stickers, mugs, sticky notes, tote bags). What to plan 2–3 months before the wedding

Experience with wedding agencies shows that the biggest challenges come not from printing itself, but from changes in guest numbers. That's why we recommend splitting the order into two parts: print invitations early (3–4 months in advance, with a 10–15% buffer), and leave place cards, menus and name stickers for 2–3 weeks before the event, once the guest list is final.

Guest favours and printed clothing (bridal party T-shirts, hoodies), on the other hand, need a longer lead time – 6–10 business days plus time for artwork approval. During the summer season (June–August) demand is higher, so it's more realistic to plan a month ahead.

Printed items for guests

Invitations, menus, place cards, programmes and thank-you cards are a classic case for digital printing. Digital printing suits weddings well precisely because the run is small (40–150 pcs) and the text can be changed for each guest – name, table number, menu choice.

Practical tips:

  • Invitations are most often printed on 300–350 g/m² card; lighter paper tends to crease in the post.
  • A folded (double) format lets you fit the programme and dress code on one print, without a separate insert.
  • If you have gold or silver accents, we recommend metallic stickers or a foil-effect material – full-colour printing can't reproduce real gold.
  • For envelopes, we prepare address labels on a single sheet with all guest names.

Signage, decor and the photo corner

Guests need to understand where to park, where the ceremony is, and where the gift table is. This is handled with large-format printing: posters from A4 to A0, PVC banners with eyelets for outdoor use, roll-up stands for indoors, and photo banners for the photo corner.

For outdoor events, a PVC banner is safer than a paper poster – it withstands rain and wind. A roll-up is convenient because it can be moved during the ceremony and reused in the dinner hall afterwards; wedding agencies often order one neutral roll-up or banner with the couple's names and date, which can be moved between locations.

Stickers – the cheapest way to personalise everything

A sticker is the one material that works equally well on a honey jar, a wine bottle, a gift bag and a table number. We print stickers in sheets or rolls, with contour cutting into any shape – heart, oval, monogram. Material choice: paper (the cheapest, for dry surfaces), PP film and vinyl (durable, suitable for bottles and moisture), transparent and metallic films.

If the favour is a food product (honey, sweets, jam), you'll usually need an ingredients label alongside the design sticker – we can print both in one order.

Prices are indicative and exclude VAT. The exact price depends on quantity, material, printing method and number of colours – for example, the unit price for 200 stickers is noticeably higher than for 2,000.

How working with a wedding agency works

  1. Send us the list, or add items to a request on our website – typically something like "X invitations, Y place cards, 2 signs, 1 banner, 80 stickers, 6 mugs."
  2. Within one business day we prepare an online quote and a PDF with product photos, prices, printing areas and turnaround time for each item.
  3. On request, we create a 3D preview with the actual design, so the couple can see how the mug or bag will look.
  4. Once the artwork is approved by email, production begins. Urgent jobs are accepted by prior arrangement.

Files

The best option is vector graphics (.ai, .eps, .pdf, .svg) in CMYK colour space; raster images at 300 dpi at actual size. If the design is made by a friend of the couple or a freelance designer, we recommend sending the file for a check before printing – the most common issues are a missing 3 mm bleed and text not converted to outlines.
