Corporate Event Printing: Invitations, Place Cards, Photo Walls
A guide to printing for your year-end party: formats, estimated prices and deadlines for invitations, place cards and photo walls, so everything's ready in time for December.

Corporate event printing for a December festive evening almost always comes down to three parts: invitations (print runs of 50–300 pcs, 1–3 business days), place cards and menus, plus a photo wall — either a PVC banner or a roll-up banner stand. If your event falls in the first half of December, artwork needs to be approved by mid-November; for branded gifts for guests, allow 6–10 business days, since that also involves logo printing and delivery. This late-October guide helps you plan the whole package as a single order.
Timeline: what to order when
December is the busiest month in the printing industry, so planning backwards from your event date saves both money (no rush fees) and nerves.
| When | What to do |
|---|---|
| 6–8 weeks before (late October) | Choose gifts for guests, get a quote, approve colour samples |
| 4 weeks before | Approve invitation artwork and send to print (for emailing or postal delivery) |
| 2–3 weeks before | Order the photo wall, roll-up banner, posters, signage |
| 5–7 days before | Place cards, seating plan, menus, certificates — once the final guest list is confirmed |
Our in-house printing (stickers, cards, posters, banners) usually takes 1–3 business days after artwork approval. Rush jobs are handled by arrangement — sometimes this means same-day printing, but it's best to agree on this in advance.
Invitations: formats, paper and print runs
The most popular format is A6 (105×148 mm) on 300 g/m² card with double-sided printing: the design on one side, and date, time, venue, dress code and a QR code to the RSVP form on the other. For events with a fixed number of seats, a 100×210 mm strip that fits a standard envelope also works well, as do folded A6 invitations (A5 when opened).
Estimated prices excl. VAT, double-sided colour printing on 300 g/m² card:
| Format | 50 pcs | 100 pcs | 300 pcs |
|---|---|---|---|
| A6 invitation (105×148 mm) | from EUR 0.75/pc | from EUR 0.48/pc | from EUR 0.29/pc |
| Folded A6 (A5 open) | from EUR 1.10/pc | from EUR 0.72/pc | from EUR 0.45/pc |
| Place card 90×50 mm, folded | from EUR 0.55/pc | from EUR 0.38/pc | from EUR 0.25/pc |
| Menu A5, 300 g/m² | from EUR 0.95/pc | from EUR 0.62/pc | from EUR 0.40/pc |
The exact price depends on print run, paper and finish (matte lamination, rounded corners, foil effect). We print this whole group — invitations, cards and booklets — from as little as 1 piece, so you can print a single sample to check in person before committing to the full run.
Place cards, seating plan and menus
There are two practical options for place cards: a folded 90×50 mm card (stands on its own, text visible from both sides) or a flat card in a holder. If the guest list is likely to change up to the last day, we recommend printing named cards only for the head table, with neutral cards showing just the table number for everyone else.
The seating plan at the entrance is most often printed as an A1 or A0 poster on 200 g/m² paper or foam board — it holds its shape on a display stand and won't curl. You'll find posters in our posters section. A5 or A4 is enough for menus, with one card per 2–4 guests.
Photo wall: banner or roll-up
The photo wall is the one printed item that the most people will see after the event, since the photos end up on social media. Practical sizes:
- PVC banner 2×2.5 m with hemming and eyelets — suitable for mounting on a frame or wall. From around EUR 11/m², which works out to roughly EUR 60 for this size.
- Photo banner 3×2.5 m — if you need to fit 5–8 people in the frame; allow at least 2.3 m in height so there's clear space above people's heads.
- Roll-up banner stand 85×200 cm — a mobile solution, from around EUR 75 with cassette and carry bag; also handy for a registration desk and future events.
- Beach flags — if the entrance is outdoors or the event is at a countryside venue.
Keep your logo no lower than 40 cm from the bottom of the design — people standing in front will cover it. A repeating logo pattern works better than one large logo in the centre. For more on formats and materials, see banners and roll-up stands and large-format printing.
Extra items that often get forgotten
- Certificates and awards, A4 on 250–300 g/m² card — important if there's an awards segment during the evening.
- Stickers for gift packaging, wine bottles and chocolate boxes — cut to any contour; see sticker printing.
- Signage and name lanyards, if the event includes a seminar segment.
- Photo booth props and table numbers on card.
Files and artwork approval
Vector graphics (.ai, .eps, .pdf, .svg) in CMYK are the best option. Raster images for small formats need 300 dpi at actual size; for photo walls and banners, 100–150 dpi at actual size is enough. For invitations and cards, leave a 2–3 mm bleed and keep text at least 4 mm from the edge.
We send quotes within one business day — online and as a PDF, with prices, print area, set-up fee and lead time for each item. On request, we can prepare a 3D preview with your logo so you can see how the gift will look. Printing only starts once artwork has been approved by email.
Frequently Asked Questions
How far in advance should invitations be ordered?
Printing itself takes 1–3 business days. If you're sending invitations by post or delivering them in person, add another 3–5 days, plus time for guests to respond. In practice, this means ordering invitations about 4 weeks before the event.
What's the best size for a photo wall?
2×2.5 m suits 4–6 people in the frame, 3×2.5 m suits 5–8 people. The height should be at least 2.3 m so the room's wall isn't visible above people's heads.
Can I order just 30 invitations?
Yes, we print from as little as 1 piece. For small print runs, the price per piece is higher, as the set-up work is the same regardless of quantity, but there's no minimum order.
Can a photo wall be reused?
A PVC banner can, as long as it doesn't show a specific date — so we recommend putting the year only on the invitation and place cards. A roll-up banner stand with a neutral design works all year round.
Can branded gifts be ready by mid-December?
Yes, if the order is confirmed by early November. The standard lead time for printed promotional products is 6–10 business days: production takes 4–7 business days depending on quantity, plus 2–3 days for delivery. December is busier than usual, so it's worth building in some margin.
Can everything be ordered in one place?
Yes. We produce invitations, cards, menus, posters, stickers and photo walls in-house at our production facility at Kandavas iela 29A, Riga, and deliver everything in a single shipment with one invoice.
