Accounting Office Supplies and Client Gifts: A Guide

A typical annual order basket for an accounting office contains three things: archive and folder stickers (from 1 sheet, ready in 1–3 business days), business cards on 300 g/m² paper, and notebooks with a logo for clients — the latter from €0.95/pc at 100 pieces. Accounting office supplies rarely require large print runs, so most of our clients in this sector order 50–200 pieces per item, which fully covers both internal needs and client gifts in December.

Accounting and bookkeeping service offices (NACE 69.20) typically have four recurring needs:

• Archive and folder labelling — stickers for folder spines, year and client name labels, seals for document packets. Most often plain white paper stickers in sheets, black single-colour printing.
• Client communication on paper — business cards, price list leaflets, folders with annual report documents, seminar invitations.
• Internal stock — notebooks for meetings, pens, desk calendars.
• Year-end client gifts — modest, useful, with a discreet logo rather than a promotional poster on the cover.

Archive stickers and document labelling

In accounting, a sticker usually needs to be functional rather than pretty. Practical suggestions:

• Folder spines — paper sticker with permanent adhesive, size to match your folder (most often 190×35 mm or 300×55 mm). These can be printed with variable data: client, year, period.
• Temporary labelling — removable adhesive, so the folder stays clean after archiving.
• Seals — die-cut sticker with your company logo; if it needs to show that the seal has been removed, we use a brittle material.
• Confidentiality marks — red single-colour print on white film, size around 50×20 mm.

We print stickers both in sheets and on rolls. Rolls are more economical if you'll be applying several thousand labels a year and have a label dispenser.

Price guidelines by quantity

Prices excl. VAT, indicative; the exact amount depends on quantity, colour and printing method. A one-off setup fee (plates, file preparation) is charged once per item and is shown in the quote.

As you can see, for standard hardcover notebooks the price barely changes between 1 and 100 pieces — savings appear from 250+ pieces and with litho technology, where the print covers the whole cover.

Year-end gifts: how much to spend and what to choose

Accounting offices typically have one requirement — a gift shouldn't look expensive or pushy. In practice, three budget levels work well:

• €1–2/pc — an A6 or A5 notebook with a hot-stamped logo, a pen, a keyring. Suitable for everyone on your client list.
• €3–6/pc — a notebook-and-pen set, a thermal mug, a tote bag.
• €10 and up — a Moleskine-format book with embossing, or a small boxed set for key clients.

A tip from experience: the logo on a gift should be small and single-colour. Silver or matte gold hot stamping on a dark cover looks more refined than full-colour printing. If you want a full-colour design, a Desk-Mate®-type notebook with a printed cover works better, where the print is part of the design rather than added on top.

Files, deadlines and how ordering works

Send your logo as vector graphics (.ai, .eps, .pdf, .svg), colours in CMYK, raster images at 300 dpi. If you only have a JPG from your website, let us know — we'll redraw it in vector format.

Deadlines:

Process: you add the items to a request on our website, or simply write to us about what you need. Within one business day we send a quote online and as a PDF — with product images, prices, print location, setup fee and turnaround for each item. On request, we prepare a 3D preview with your logo. The artwork must be approved by email, and only then does production start.

If you're planning gifts for December, it's worth confirming the order by mid-November — from late November, production queues get longer and the 6–10 business day turnaround can stretch out.

Frequently asked questions

What's the smallest quantity I can order?

For our own printing — from 1 piece (for example, one sheet of stickers or 1 poster). For promotional products from the catalogue, the minimum is usually 1 piece, but real savings start at 50–100 pieces; for socks with a woven logo the minimum is 100 pairs.

Which type of printing on a notebook looks the most understated?

Hot stamping (silver, gold, white) or embossing on a hard cover. It's single-colour and doesn't look like advertising. Full-colour digital printing works if your logo is multi-coloured and can't be simplified.

Can you print folder stickers with different client names?

Yes. Send us the list in an Excel file, and we'll print the stickers with variable data — each with its own text, one print run, one setup fee.

How much does setup cost?

It's a one-off fee for preparing the plate or file for a specific printing method, and it's listed separately in each quote line. For a repeat order with the same artwork, setup usually doesn't need to be paid again.

Can I get a sample before the full run?

We can send an unprinted product sample by arrangement. A printed sample is possible for digital printing and DTF; for screen printing and hot stamping this would require making a separate plate, so we usually approve a 3D visualisation instead.

Do you deliver outside Riga?

Yes, throughout Latvia by courier; delivery usually takes 1–2 days after the job is finished. In Riga, you can also collect on site at Kandavas iela 29A.
